Vendor Terms of Service

The agreement every vendor accepts when booking a table.

Last updated: October 16, 2026

Acceptance

By checking the acceptance box and booking a vendor table, you (the Vendor) enter a binding agreement with Card House Society and agree to all terms below.

Equipment Use & Damage/Loss Fee

Any table(s) and chair(s) Card House Society provides with a table reservation remain the property of Card House Society and/or the venue. The Vendor is responsible for returning each provided table and chair at show close in the same condition received. If any provided table or chair is stolen, damaged, broken, defaced, removed, or misplaced while in the Vendor's care, the Vendor agrees to pay the full replacement cost plus a handling and convenience fee, up to $250.00 per table-and-chair set, charged to the payment method on file. This is agreed in advance as a reasonable estimate of Card House Society's loss and handling cost, not a penalty.

Assumption of Risk

The Vendor attends and participates voluntarily and assumes all risks of attending, including theft, loss or damage of the Vendor's own merchandise, cash and belongings, and personal injury or property damage. Card House Society is NOT responsible for a Vendor's merchandise, cash, displays or personal property, and is not responsible for theft or loss of those items.

Release of Liability

To the fullest extent permitted by Florida law, the Vendor releases and holds harmless Card House Society, its organizers, owners, staff and volunteers, and the venue (Rolling Waves Brewing & Distillery) and its owners and staff, from any and all claims, demands and damages arising out of or related to the Vendor's attendance or participation, including those arising from ordinary negligence. This release does NOT apply to gross negligence, willful or intentional misconduct, or any right that cannot be waived under applicable law.

Indemnification

The Vendor agrees to indemnify and defend Card House Society and the venue against any claim arising from the Vendor's conduct, acts, omissions, or the goods the Vendor sells, displays or trades (including claims of counterfeit, stolen, or illegal goods).

No Lawsuit / Dispute Terms

By accepting, the Vendor agrees that their sole remedies are those stated in these terms and the Refund Policy, and waives, to the fullest extent Florida law allows, the right to bring suit for matters covered by the release above. (Gross negligence, intentional misconduct and non-waivable statutory rights are excluded.)

Goods & Conduct

Vendors may sell only legal, authentic goods they have the right to sell. No counterfeit, stolen or illegal items. Card House Society may remove any Vendor for violations without refund.

Payments Final / Relocation

All vendor payments are final and non-refundable; cancellation converts to a 12-month credit less a 15% administrative fee (see Refund Policy). Card House Society may relocate any Vendor's table or spot at any time for any reason; relocation is not grounds for a refund, credit or reschedule.

No-Show

A vendor table is a reserved, pre-paid space. If you do not check in with Card House Society staff within 60 minutes of doors opening on show day, and you have not notified us in writing at [email protected] before the show starts, you are a no-show. A no-show table is cancelled and forfeited in full: no refund, no credit toward a future show, and no reschedule. Card House Society may reassign a no-show table at any time without notice. Why: your table fee is committed before show day to the venue, setup and teardown, tables and chairs, decorations, marketing, and our staff's time and labor — none of which can be recovered. Advance written notice does not create a refund (all sales are final), but it lets us offer your table to the waitlist; any courtesy credit is at Card House Society's sole discretion.

Media Release

The Vendor consents to being photographed/recorded at the event and to Card House Society using those images for promotion.

Governing Law

These terms are governed by the laws of the State of Florida. Venue for any dispute is Broward or Miami-Dade County, Florida. If any provision is unenforceable, the rest remains in effect.
